Privacy Policy and Notice of Privacy Notices

Trusted Care Partners is committed to protecting your privacy and ensuring your personal information is handled securely and responsibly. This Privacy Policy includes our Notice of Privacy Practices, as required by the Privacy Regulation created under the Health Insurance Portability and Accountability Act of 1996 (HIPAA).

  • Accounting of Disclosures: You may request a list of disclosures of your PHI made by us, excluding those for treatment, payment, or healthcare operations.

General Privacy Practices (Non-PHI)

In addition to HIPAA-protected information, we may collect and use personal information such as your name, email, and phone number for the purposes of providing services, including SMS notifications.

  • Information entered through our online forms, including consent for SMS notifications.

  • SMS opt-in consent or phone numbers for SMS purposes will NOT be shared with third parties and affiliates for marketing purposes. Consent is obtained once a potential client or their family contacts Trusted Care Partners.

  • Opt-In: Users are sent an opt-in text message once Trusted Care Partners are contacted and need for further communication has been established.
  • Opt-Out: Users can opt out at any time by replying “STOP” to SMS messages or contacting us directly.
  •  Message frequency may vary.

When contacting us via phone or email, users may choose to receive SMS notifications. Consent is obtained upon initial contact, and an opt-in message is sent.

  • Initial Contact: Prospective client or employee contacting Trusted Care Partners to inquire about services or employment. Consent is obtained verbally to continue communication.
  • Verbal Agreements: For certain services, consent may be obtained verbally and recorded during customer interactions.
  • Written Agreements: Consent may also be collected via paper or digital documents where applicable.

SMS opt-in consent or phone numbers for SMS purposes will NOT be shared with third parties and affiliates for marketing purposes. 

Types of SMS Communications

 Our in-home care agency uses SMS communications to keep clients, job applicants, and caregivers informed with timely and relevant updates. Below is a clear description of the types of SMS messages you may receive: 

 

1. Customers and Guests

Customers and their families may receive SMS updates to ensure seamless communication regarding care services. Examples include:

  • Appointment Confirmations & Reminders: "Your caregiver, Sarah, is scheduled for 10:00 AM tomorrow. Reply CONFIRM to confirm or RESCHEDULE to change the time."
  • Service Updates: "Due to weather conditions, your caregiver may arrive 10 minutes later than scheduled. We appreciate your understanding!"
  • Billing Notifications: "Your monthly invoice is now available. Visit the client portal to view or pay your bill."


2. Job Applicants

We aim to streamline the hiring process with clear and prompt communication. Job applicants can expect SMS updates such as:

  • Application Status Updates: "Thank you for applying to CareWell In-Home Services! Your application is currently under review."
  • Interview Scheduling: "Congratulations! We’d like to schedule an interview for the caregiver position. Reply with your availability for this week."
  • Onboarding Information: "Welcome to the CareWell team! Please check your email for onboarding documents and training schedules."


3. Caregivers and Staff

Our caregivers and team members receive SMS messages to keep operations running smoothly. Examples include:

  • Shift Confirmations & Reminders: "Reminder: Your scheduled shift for Mrs. Johnson begins tomorrow at 8:00 AM."
  • Schedule Changes: "Your shift location has been updated. Please check the caregiver portal for details."
  • Training & Compliance Updates: "Reminder: Complete your CPR certification renewal by this Friday. Visit the portal for details."


Opt-Out Option

Recipients can opt out of SMS communications at any time by replying STOP to any message they receive. Once opted out, users will no longer receive SMS messages unless they opt back in by replying START.
